How much does a booking or online appointment app cost? What it includes and what makes it pricier
· 6 min read
Clinics, beauty salons, academies, workshops, gyms, professional firms: many businesses live off their diary. Your own booking app lets customers book when it suits them, reminds them to come and frees your team from the phone. Its price depends above all on how much your way of giving appointments resembles everyone else’s… and how much it doesn’t.
What any booking app has
- An availability calendar per professional, room or resource, with opening hours, holidays and absences.
- Online booking in a few steps: service, professional, day and time.
- Automatic confirmation and reminders by email (and by SMS or WhatsApp if you integrate them).
- Rescheduling and cancellation by the customer, under the rules you decide (for example, up to 24 hours before).
- A panel for the team: see the day’s diary, move appointments and enter the ones that come in by phone.
That is already a working online diary. It is the cheapest version and, for many businesses, the one that saves the most work from day one.
What raises the price the most
Four additions explain almost all the price differences between one booking app and another.
Payments and deposits
Charging for the appointment in advance, asking for a deposit or selling session packs reduces no-shows, but adds a payment gateway, refunds and the logic of what happens when someone cancels. It is one of the additions that pays off most in businesses with many missed appointments.
Several locations, rooms or resources
If an appointment needs a professional, a room and a machine at the same time, or you have several locations with different teams, working out free slots gets much more complicated. Describe how your real diary works today, not the ideal one: it is what changes the quote the most.
A mobile app in the stores
Most customers book from their phone, but that doesn’t mean you need an app in the stores: a website built well for mobile covers booking. A native app makes sense if your customers come back a lot (gyms, academies) and you want notifications and one-tap access.
Integrations
Connecting to your management software, your invoicing tool or an external calendar avoids entering everything twice. The cost depends on whether that software has a documented API; if it doesn’t, a regular export and import is sometimes enough.
Examples at today’s prices
These amounts come from the same estimator our assistant uses, with today’s rates. They are not for a specific booking app, but they give the order of magnitude of a project of this size.

Custom-built or an appointment tool?
If your diary is simple, a standard appointment tool may be enough, and the honest thing is to tell you so. A custom app pays off when your way of working doesn’t fit (combined resources, your own rules, session packs, several locations), when it has to integrate with what you already use, or when booking is part of your product and you want the experience to be yours, with no per-professional fees or third-party branding.
How to start without overspending
- Start with online booking, reminders and the team panel; leave payments and a native app for a second phase.
- For a couple of weeks, note why appointments are lost and how many calls are to book or change one: it will tell you which feature is worth most.
- Ask for a clickable prototype before committing and show it to two or three trusted customers.
